Terms & Conditions

Policy Terms

1.  Upon initial payment of the fees required, you as the student/ parent/ guardian hereby agree to the above mentioned terms and conditions.
2. 
Nippon Hippo reserves the right to change, amend, and/or alter any of the policies, promotions, pricings, terms and conditions at any time. The person(s) that may be affected by the terms and conditions shall bear the full consequences and/or action(s), if any, that may be imposed onto the individual.

A. Online Class - Group Lesson

1. Enrollment

1.1  Minimum age of 15 years old and above.
1.2  For students who are under 15 years old, a parent’s companion is required during lessons.
1.3  Intake may be postponed if the minimum number of students (8) is not reached by the time the intake is supposed to begin.

2. Study Materials

2.1  Lesson slides and materials will be uploaded to Google Drive, and deleted at the end of each intake.
2.2  Students are recommended to download the materials every time before or immediately after class.
2.3  Lesson materials in any form are not allowed to be used for external commercial or promotional purposes. If misuse is identified, legal action will be taken under copyright infringement and breach of terms & conditions.
2.4  An external one-off Material Fee of USD 13 (MYR 50), and Registration Fee of USD 13 (MYR 50) shall be imposed during a student’s first registration of Online Classes of any level.

3. Joining Class

3.1  Please enter the Google Meet Room 5 minutes prior to the lesson.
3.2  Make sure your mic functions well in order to practice speaking.
3.3  It is recommended to turn on the camera during all sessions. Facial real-time reaction would improve a teacher’s ability to understand if the student understands the materials being taught.
3.4  Prepare a notebook and pen (or writing materials) for the lesson to take notes.
3.5  All materials provided in Google Drive will be deleted at the end of each intake. After the intake has ended, the materials will only be available for 3 (three) days after the final class. Please download the materials in advance.
3.6  Video or audio recording without Nippon Hippo’s permission is strictly prohibited. Legal action (and/or a monetary fine) will be imposed if found.
3.7  All communication between teachers and students should only be conducted through the dedicated WhatsApp class group chat only. Any private messages with the teacher are strictly not allowed, as teachers will not reply to those messages.

4. Request for Playback Video/ Video Recording

4.1  If a student is absent to any of the classes (or students who wish to obtain the playback video/ video recording for revision purposes), the student is allowed to request for the playback video/ video recording of the class, which will only be sent to the student if a request is sent to the administrative team.
4.2  Please send a WhatsApp message to our admin (+601118896093) with the below details:

4.3  Video will be sent to students by email within 2 (two) working days upon request (Working days are Mondays to Fridays).

5. Attendance

5.1  In the event that students did not attend the class after 15 (fifteen) minutes, that class will resume as per scheduled, and no replacement classes of any form shall be permitted. Alternatively, the student is allowed to request for the playback video/ video recording of the class.

6. Certificate of Completion

6.1  Certificate will only be issued to students who have completed minimum of Beginner Level 1 and pass the internal exam.
6.2  The certificate is request-based only. Please contact the admin for the issuance request, if qualified.
6.3  Please do take note that the certificate issued by Nippon Hippo is in no way comparable to the certificate from the Japanese Language Proficiency Test (JLPT), and/or any other external examinations that are hosted by external parties.

7. Examination 

7.1  Failed Exam
–  In case a student fails in the internal exam, the student may request to resit for the exam.
–  Alternatively, the student may proceed to the next level and pass the next level’s exam in order to get the certificate of completion (and if applicable, all previous failed levels as well).
7.2 Reschedule Exam
–  Student(s) are required to inform and reschedule the exam date with the teacher 1 (one) week in advance, in the event that they are not able to join the exam scheduled by the center. If a student failed to sit for the internal exam, his/ her result will be considered as a failure and marked as absent. 
7.3 Resit for Exam
–  A fee of USD 20 (MYR 80) will be applied for students who would like to resit for the internal exam. 
–  A maximum of 2 (two) reattempts are permitted. In the event that the student is unable to pass the exam even after both reattempts, we recommend the student to either:
          a.  Join another class from the beginning of that level, or
          b.  Proceed to the next level’s studies.

8. Payment 

8.1  Payment Details
–  All prices noted on the price lists of Nippon Hippo does not include the external one-off charges that may be imposed by the external companies. The listings does not include the Registration Fee of USD 13 (MYR 50), and Materials Fee of USD 13 (MYR 50) as well. The total sum imposed to the student/ guardian/ parent may include bank transactional fees and/or foreign exchange rate differences.
8.2 Payment Method 
–  Payments are accepted through Internal Bank Transfer, Online Banking and/or Credit Card / Debit Card.
–  A Proof of Payment is to be submitted to the admin, for future reference and administrative recording purposes.
8.3 Refund & Cancellation
–  Fees paid are strictly non refundable if a student would like to withdraw from the course due to personal reasons before, during or after commencement of the intake.
–  Registration fee of USD 13 (MYR 50) is strictly not refundable under any circumstances.
–  In the event that the intake the student has applied for has been postponed for more than twice, the student is allowed to switch to another intake of the same program. Alternatively, students may request for a refund, which shall not include the registration fee and material fee imposed of USD 13 (MYR 50) each.
–  For credit card payment, a processing fee of 4% of the full payment will be charged which is non-refundable under any circumstances. The processing fee might vary depending on the bank’s policy changes in the future.
–  The exchange rates of foreign currencies to Malaysian Ringgit (MYR) (or United States Dollars (USD) or any other foreign currencies for that matter) will vary depending on the bank (or service) used, thus affecting the total charge for each individual payment.

B. Online Class - Private Lesson

1. Enrollment

1.1  Minimum age of 7 years old and above.
1.2  For students who are under 7 years old, a parent’s companion is required during lessons.
1.3  Students (of Private Lessons) will be assigned a teacher, and are to follow the progression in standards of the standardized syllabus.

2. Study Materials

2.1  Lesson slides and materials will be uploaded to a Google Drive folder, and will be deleted 3 (three) days after the last class.
2.2  Students are recommended to download the materials every time before or immediately after class.
2.3  Lesson materials in any form are not allowed to be used for external commercial or promotional purposes. If misuse is identified, legal action will be taken under copyright infringement and breach of terms & conditions.
2.4  An external one-off Material Fee of USD 13 (MYR 50), and Registration Fee of USD 13 (MYR 50) shall be imposed during a student’s first registration of Private Classes of any level.

3. Joining Class

4. Attendance

4.1  In the event that students did not attend the class after 15 (fifteen) minutes, and if the student does not inform the teacher (or administration team), that class will be marked as “completed”, and no replacement shall be permitted.
4.2  The lesson package is required to be completed within 6 (six) months after the initial registration. Any postponing and/or absences should be reported with valid and/or legitimate reasoning, and should be done 3 (three) days in advance. After the dedicated period, the student’s remaining classes will be considered “completed”, and no refunds will be provided by Nippon Hippo.

5. Rescheduling

5.1  Should there be a need to reschedule a class, the student is required to be made 3 (three) days in advance. Students who fail to inform an absence 3 (three) days prior to the class time, a reschedule will not be granted, and that class will be marked as “completed”, and no replacement shall be permitted.

6. Examination/ Certificate(s)

6.1  There will be no examinations for Private Class students regulated by Nippon Hippo.
6.2  No certificates will be issued to private class students.

7. Payment 

7.1  Payment Details

All prices noted on the price lists of Nippon Hippo does not include the external one-off charges that may be imposed by the external companies. The listings does not include the Registration Fee of USD 13 (MYR 50), and Materials Fee of USD 13 (MYR 50) as well. The total sum imposed to the student/ guardian/ parent may include bank transactional fees and/or foreign exchange rate differences.
7.2 Payment Method
– 
Payments are accepted through Internal Bank Transfer, Online Banking and/or Credit Card / Debit Card.
– 
A Proof of Payment is to be submitted to the admin, for future reference and administrative recording purposes.
7.3  Refund & Cancellation
–  Fees paid are strictly non refundable if a student would like to withdraw from the course due to personal reasons before, during or after commencement of the intake.
–  Registration fee of USD 13 (MYR 50) is strictly not refundable under any circumstances.
–  In the event of the tutor/ teacher the student has applied for (or attended classes with) are unable to continue teaching for any reasons, an arrangement for a replacement tutor/ teacher shall be done.
–  Should the student wish to withdraw from the program due to the change in tutor/ teacher, a refund shall not be granted.
–  For credit card payment, a processing fee of 4% of the full payment will be charged which is non-refundable under any circumstances. The processing fee might vary depending on the bank’s policy changes in the future.
–  The exchange rates of foreign currencies to Malaysian Ringgit (MYR) (or United States Dollars (USD) or any other foreign currencies for that matter) will vary depending on the bank (or service) used, thus affecting the total charge for each individual payment.

C. Mainichi Japanese Conversation Class

1. General

1.1  By confirming your order, you are agreeing to the terms and conditions.
1.2  The subscription fee is charged monthly and you will be bound to a minimum subscription period. The details are as follows:
–  1 Month Subscription Plan – USD 85 (RM350) per month with a minimum subscription of 1 (one) month.
–  3 Months Subscription Plan – USD 59 (RM245) per month with a minimum subscription of 3 (three) months.
– 
6 Months Subscription Plan – USD 49 (RM204) per month with a minimum subscription of 6 (six) months.
1.3  After the bounded subscription period, you can decide to continue your plan with the same price, or unsubscribe.
1.4  Your subscription plan will continue and you will be charged accordingly unless you make changes to your current subscription plan (such as changing levels, upgrading, downgrading or terminating).
1.5  We will only accommodate change requests through the Mainichi Japanese Conversation Class subscription update form. Any external requests through other mediums will not be entertained.
1.6  Any type of recording (audio, textual, or video) in any of the classes, whole or part, is strictly prohibited at all times.
1.7  You will need to be at least 16 years old and above to join the Mainichi Japanese Conversation Class.
1.8  If you are under 16 years old, you are required to get permission from your parent(s) or guardian(s) before joining the program.
1.9  If you are found to be under 16 years old and have joined the class without the permission from your parents or guardians, your subscription will be terminated without any notice, warning or announcement, If you are found to be under 16 years old and have joined the class without the permission from your parents or guardians, your subscription will be terminated without any notice, warning or announcement, and you will not be entitle for any refunds.
1.10  Students can only download the study materials during class, any request before or after the class will not be entertained.
1.11 Every class will be recorded for the below purposes :
–  For the administration to check and maintain class quality.
–  Serve as proof for any conflict between Nippon Hippo, teachers and the students (such as teacher’s misconduct, use of offensive or foul language, etc.).
 –  To be used as reference to improve the overall student experience (within Mainichi Japanese Conversational Class, or other classes as well).
 –  To be used as sample videos or marketing material. (Although it is an uncommon sight, if you find out you are in one of the videos and you are not comfortable with it, you may request for us to remove the part where you appear in the video(s).)

2. Changing Levels

2.1  You are required to fill up and submit the Mainichi Japanese Conversation Class level switching form to request to change to a different level.
2.2  After submitting the form, it will take 1 (one) to 7 (seven) working days for the change(s) to be done.
2.3  If your subscription is ending within 7 (seven) days, you are not allowed to change your class level.
2.4  If you wish to change your Mainichi Japanese Conversation Class level during your 7 (seven) days free trial, you are required to unsubscribe from the current Mainichi Japanese Conversation Class subscription, then re-subscribe to your desired level.
2.5  We will only accommodate level change requests through the Mainichi Japanese Conversation Class level switching form, any requests through other mediums will not be entertained.

3. Subscriptions Plan Upgrade

3.1  You are required to fill out and submit the Mainichi Japanese Conversation Class subscription update form at least 2 (two) weeks in advance before your next payment.
3.2  If you fail to submit the Mainichi Japanese Conversation Class subscription update form 2 (two) weeks in advance, we will not be able to upgrade your subscription plan.
3.3  If you successfully upgrade your subscription plan, the new price (and charges) will be applied to your next payment.
3.4  We will only accommodate level change requests through the Mainichi Japanese Conversation Class subscription update form, any external requests through other mediums will not be entertained.
3.5  There will be no refunds for upgrading your subscription plan for any reason.

4. Subscriptions Plan Downgrade

4.1  You are required to fill out and submit the Mainichi Japanese Conversation Class subscription update form at least 2 (two) weeks in advance before your subscription plan ends.
4.2  If you fail to submit the Mainichi Japanese Conversation Class subscription update form 2 (two) weeks in advance, we may not be able to downgrade your subscription plan.
4.3  You can only downgrade your subscription plan after your subscription period finishes (subscription period refers to 1 month subscription, 3 months subscription, 6 months subscription and not the payment date).
4.4  If you successfully downgraded your subscription plan, the new price (and charges) will be applied to your next payment.
4.5  We will only accommodate level change requests through the Mainichi Japanese Conversation Class subscription update form, any external requests through other mediums will not be entertained.
4.6  There will be no refunds for downgrading your subscription plan for any reason.

5. Subscriptions Plan Termination

5.1  You are allowed to terminate your subscription. However, we do not provide any refunds for termination of the subscription plan for any reasons.
5.2  You can only unsubscribe after your subscription period finishes (subscription period refers to 1 month subscription, 3 months subscription, 6 months subscription and not the payment date).
5.3  After termination, you may still take advantage of the rest of the Mainichi Japanese Conversation Class until your subscription period finish (subscription period refers to 1 month subscription, 3 months subscription, 6 months subscription and not the payment date)
5.4  We will only accommodate level change requests through the Mainichi Japanese Conversation Class subscription update form, any external requests through other mediums will not be entertained.

6. Free Trial

6.1  You will be entitled to a 7 (seven) days free trial for the first time joining each of the levels (Beginner, Intermediate & Advanced).
6.2  You will not be charged for the first 7 (seven) days of your subscription.
6.3  Once your subscription passes the 7th day, you’ll be charged according to the plan you have subscribed to.
6.4  If you decided NOT to subscribe to the Mainichi Japanese Conversation Class before your trials end, you are required to fill out and submit the Mainichi Japanese Conversation Class subscription update form before your trials end.
6.5  If you unsubscribe during the free trial period, you will no longer be entitled to the free trial anymore.
6.6  If your subscription gets canceled due to payment failure after the free trial period, you will no longer be entitled for the free trial anymore.
6.7  You will no longer be entitled for the free trial during the second purchase and onwards for that level.

D. Kodomo Japanese Station

1. General

1.1 By confirming your order, you agree to abide by the terms and conditions in this document.

1.2 The Kodomo Japanese Station is for children who are aged 5 – 12 years old only. Students of other age ranges will be subject to approval of Nippon Hippo.

1.3 Any type of audio, or video recording in any part (or whole) of the classes without prior permission from Nippon Hippo is strictly prohibited.

1.4 Every class will be recorded for the below purposes:

  • For the program leader to check the class quality. (Such as teacher’s misconduct and others)
  • Serve as proof for any potential conflict between Nippon Hippo, teachers and/or the students.
  • Use as reference to improve the overall quality of the Kodomo Japanese Station program.
  • Use as sample videos or marketing material (This rarely happens, however if you found out you are in one of the videos, you may request us to remove the part where you appeared on the marketing material).

2. Subscription Terms

2.1 Depending on the subscription plan you have chosen, the subscription fee is charged monthly and you will be bound to a minimum subscription period.

  • 1 Month Subscription Plan – USD 115 (MYR 480) per month with a minimum subscription of 1 month.
  • 3 Months Subscription Plan – USD 94 (MYR 390) per month with a minimum subscription of 3 months.
  • 6 Months Subscription Plan – USD 85 (MYR 350) per month with a minimum subscription of 6 months.

2.2 Any promotions that are offered with the fees imposed, shall only apply to the months in which you have initially subscribed within the promotional period. A subscription renewal will not include the aforementioned promotions.

2.3 When a student decides to initiate a subscription with Kodomo Japanese Station programme; once the initial payment has been completed, a confirmation invoice will be issued. Your subscription plan will be charged according to the pre-agreed terms as of the confirmation invoice.

2.3.1 Should the student(s) choose to withdraw from the programme before the expiration of the subscription, the payment charges will still be deducted until the end of the bounded subscription period. There will be no refunds if the student would like to remove themselves (or withdraw) from the programme at any point of time after the initial confirmation invoice has been issued.

2.4 The subscription monthly charges will be charged based on the next class available after the date as stated in the confirmation invoice.

2.4.1 The charges for the following month will take place the day before, of the 2nd month, and will remain up till the end of the subscription period. For example, if the first class that the student joins is on the 2nd of January, the next payment will be due on the 1st of February.

2.5 If the student(s) choose to continue subscribing after the bounded period based on the chosen plan, they are allowed to select between any of the subscription plans offered.

2.6 If the student(s) choose to not continue subscribing after the bounded period based on the chosen plan, they will be removed from the designated WhatsApp group, and are welcome to re-subscribe any time in the near future (which will bring them back to the initial payment route).

3. Request for Playback Video/ Video Recording

3.1 If a student is absent to any of the classes, the student (or the parent/ guardian/ care-taker) is allowed to request for the playback video/ video recording of the class, which will only be sent to the student if a request is sent to the administrative team.

3.2 Please send a WhatsApp message to our admin (+601118896093) with the below details:

3.3 Video will be sent to students by email within 2 (two) working days upon request (Working days are Mondays to Fridays).

4. Misbehaviour or Misconduct of Classes

4.1 Please note that Nippon Hippo reserves the right to reject and/or expel any of the students who join our programme(s) at our discretion with no prior notice.

4.2 In the case where we notice that action(s) of either the student, parent(s) and/or guardians; either individually or collectively, with or without the cooperation or collaboration with external parties has affected the class quality negatively, Nippon Hippo reserves the right to expel student(s) involved without warning or notices.

4.2.1 Should there be an attempt to break any laws of the company’s, teachers’, or participants’ country, the persons involved will be expelled from the programme from the point of enforcement of law by the authorities, and will be prevented from attending or participating in any classes in the future.

4.2.2 Student(s) are also aware that once they are expelled from the programme, Nippon Hippo will no longer be responsible or liable for any of the upcoming actions or plans the student may have, including the costs that will come with it.

4.3 You agree to indemnify Nippon Hippo against any claims, losses, demands, costs and other expenses which the company may incur as a result of any damage to property, person or accommodation, being refused travel, or diversion of your flight as a result of the behaviour of you or your party.

4.4 Nippon Hippo reserves the right to accept or reject any person as a student; to expel any student from the programme (or classes); to make changes in the format of classes whenever Nippon Hippo deems it necessary for the suitability or convenience of the students.

5. Payment

5.1 Payment Details

5.1.1 All prices noted on the price lists of Nippon Hippo does not include the external one-off charges that may be imposed by the external companies. The total sum imposed to the student/ guardian/ parent may include bank transactional fees and/or foreign exchange rate differences.

5.2 Payment Method 

5.2.1 Due to the nature of the class subscription system (using the auto-debit system), payments are only accepted through Credit Card or Debit Card.

5.3 Refund & Cancellation

5.3.1 Fees paid are strictly non refundable if a student would like to withdraw from the course due to personal reasons before, during or after commencement of the intake.

5.3.2 In the event of the tutor/ teacher the student has applied for (or attended classes with) are unable to continue teaching for any reasons, an arrangement for a replacement tutor/ teacher shall be done.

5.3.3 Should the student wish to withdraw from the programme due to the change in tutor/ teacher, a refund shall not be granted.
