Terms & Conditions

Policy Terms

  1. Upon initial payment of the fees required, you as the student/ parent/ guardian hereby agree to the above mentioned terms and conditions.
  2. Nippon Hippo reserves the right to change, amend, and/or alter any of the policies, promotions, pricings, terms and conditions at any time. The person(s) that may be affected by the terms and conditions shall bear the full consequences and/or action(s), if any, that may be imposed onto the individual.

A. Online Class - Group Lesson

Enrollment

    1. Minimum age of 15 years old and above.
    2. For students who are under 15 years old, a parent’s companion is required during lessons.
    3. Intake may be postponed if the minimum number of students (8) is not reached by the time the intake is supposed to begin.

Study Materials

    1. Lesson slides and materials will be uploaded to Google Drive, and deleted at the end of each intake.
    2. Students are recommended to download the materials every time before or immediately after class.
    3. Lesson materials in any form are not allowed to be used for external commercial or promotional purposes. If misuse is identified, legal action will be taken under copyright infringement and breach of terms & conditions.
    4. An external one-off Material Fee of USD 13 (MYR 50), and Registration Fee of USD 13 (MYR 50) shall be imposed during a student’s first registration of Online Classes of any level.

Joining Class

    1. Please enter the Google Meet Room 5 minutes prior to the lesson.
    2. Make sure your mic functions well in order to practise speaking.
    3. It is compulsory to turn on the camera during all sessions. Facial real-time reaction would improve a teacher’s ability to understand if the student understands the materials being taught as well as to have a better communication experience with other classmates.
    4. Prepare a notebook and pen (or writing materials) for the lesson to take notes.
    5. All materials provided in Google Drive will be deleted at the end of each intake. After the intake has ended, the materials will only be available for 3 (three) days after the final class. Please download the materials in advance.
    6. Video or audio recording without Nippon Hippo’s permission is strictly prohibited. Legal action (and/or a monetary fine) will be imposed if found.
    7. All communication between teachers and students should only be conducted through the dedicated WhatsApp class group chat only. Any private messages with the teacher are strictly not allowed, as teachers will not reply to those messages.

Request for Playback Video/ Video Recording

    1. If a student is absent to any of the classes (or students who wish to obtain the playback video/ video recording for revision purposes), the student is allowed to request for the playback video. Playback recording video is only available for 1 month after the particular lesson has been conducted. Any request for recording video after one month of the particular lesson conducted will not be entertained.

    3. Video will be sent to students by email within 2 (two) working days upon request (Working days are Mondays to Fridays).

Attendance

    1. In the event that students did not attend the class after 15 (fifteen) minutes, that class will resume as per scheduled, and no replacement classes of any form shall be permitted. Alternatively, the student is allowed to request for the playback video/ video recording of the class.

Certificate of Completion

    1. Certificate will only be issued to students who have completed minimum of Beginner Level 1 and pass the internal exam.
    2. The certificate is request-based only. Please contact the admin for the issuance request, if qualified.
    3. Please do take note that the certificate issued by Nippon Hippo is in no way comparable to the certificate from the Japanese Language Proficiency Test (JLPT), and/or any other external examinations that are hosted by external parties.

Examination 

    1. Failed Exam
      1.1  In case a student fails in the internal exam, the student may request to resit for the exam.
      1.2  Alternatively, the student may proceed to the next level if the result is sufficient and pass the next level’s exam in order to get the certificate of completion (and if applicable, all previous failed levels as well).
    2. Reschedule Exam
      2.1  Student(s) are required to inform and reschedule the exam date with the teacher 1 (one) week in advance, in the event that they are not able to join the exam scheduled by the center. If a student failed to sit for the internal exam, his/ her result will be considered as a failure and marked as absent. 
    3. Resit for Exam
      3.1 
      A fee of USD 20 (MYR 80) will be applied for students who would like to resit for the internal exam. 
      3.2  A maximum of 2 (two) reattempts are permitted. In the event that the student is unable to pass the exam even after both reattempts, we recommend the student to either:
      • Join another class from the beginning of that level, or
      • Proceed to the next level’s studies.

Payment 

    1. Payment Details
      1.1 
      All prices noted on the price lists of Nippon Hippo does not include the external one-off charges that may be imposed by the external companies. The listings does not include the Registration Fee of USD 13 (MYR 50), and Materials Fee of USD 13 (MYR 50) as well. The total sum imposed to the student/ guardian/ parent may include bank transactional fees and/or foreign exchange rate differences.
    2. Payment Method 
      2.1  Payments are accepted through Internal Bank Transfer, Online Banking and/or Credit Card / Debit Card.
      2.2  A Proof of Payment is to be submitted to the admin, for future reference and administrative recording purposes.
    3. Refund & Cancellation
      3.1  Fees paid are strictly non refundable if a student would like to withdraw from the course due to personal reasons before, during or after commencement of the intake.
      3.2  Registration fee of USD 13 (MYR 50) is strictly not refundable under any circumstances.
      3.3  In the event that the intake the student has applied for has been postponed for more than twice, the student is allowed to switch to another intake of the same program. Alternatively, students may request for a refund, which shall not include the registration fee and material fee imposed of USD 13 (MYR 50) each.
      3.4 In the event of a student expressing dissatisfaction with a class or instructor, Nippon Hippo reserves the right to determine whether a makeup class will be offered. All decisions made by Nippon Hippo in this regard will be final.
      3.5  For credit card payment, a processing fee of 4% of the full payment will be charged which is non-refundable under any circumstances. The processing fee might vary depending on the bank’s policy changes in the future.
      3.6  The exchange rates of foreign currencies to Malaysian Ringgit (MYR) (or United States Dollars (USD) or any other foreign currencies for that matter) will vary depending on the bank (or service) used, thus affecting the total charge for each individual payment.

B. Online Class - Private Lesson

Enrollment

    1. Minimum age of 7 years old and above.
    2. For students who are under 7 years old, a parent’s companion is required during lessons.
    3. Students (of Private Lessons) will be assigned a teacher, and are to follow the progression in standards of the standardised syllabus.

Study Materials

    1. Lesson slides and materials will be uploaded to a Google Drive folder, and will be deleted 3 (three) days after the last class.
    2. Students are recommended to download the materials every time before or immediately after class.
    3. Lesson materials in any form are not allowed to be used for external commercial or promotional purposes. If misuse is identified, legal action will be taken under copyright infringement and breach of terms & conditions.
    4. An external one-off Material Fee of USD 13 (MYR 50), and Registration Fee of USD 13 (MYR 50) shall be imposed during a student’s first registration of Private Classes of any level.

    2. The lesson package is required to be completed within 6 (six) months after the initial registration. Any postponing and/or absences should be reported with valid and/or legitimate reasoning, and should be done 3 (three) days in advance. After the dedicated period, the student’s remaining classes will be considered “completed”, and no refunds will be provided by Nippon Hippo.

Rescheduling

    1. Should there be a need to reschedule a class, the student is required to be made 3 (three) days in advance. Students who fail to inform an absence 3 (three) days prior to the class time, a reschedule will not be granted, and that class will be marked as “completed”, and no replacement shall be permitted.

Examination/ Certificate(s)

    1. There will be no examinations for Private Class students regulated by Nippon Hippo.
    2. No certificates will be issued to private class students.

Payment

      3.5  For credit card payment, a processing fee of 4% of the full payment will be charged which is non-refundable under any circumstances. The processing fee might vary depending on the bank’s policy changes in the future.

C. Kodomo Japanese Station

General

    1. By confirming your order, you agree to abide by the terms and conditions in this document.
    2. The Kodomo Japanese Station is for children who are aged 5 – 12 years old only. Students of other age ranges will be subject to approval of Nippon Hippo.
    3. Any type of audio, or video recording in any part (or whole) of the classes without prior permission from Nippon Hippo is strictly prohibited.
    4. Every class will be recorded for the below purposes:
  • For the program leader to check the class quality. (Such as teacher’s misconduct and others)
  • Serve as proof for any potential conflict between Nippon Hippo, teachers and/or the students.
  • Use as reference to improve the overall quality of the Kodomo Japanese Station program.
  • Use as sample videos or marketing material (This rarely happens, however if you found out you are in one of the videos, you may request us to remove the part where you appeared on the marketing material).

Subscription Terms

    1. Depending on the subscription plan you have chosen, the subscription fee is charged monthly and you will be bound to a minimum subscription period.
      1 Month Subscription Plan – USD 115 (MYR 480) per month with a minimum subscription of 1 month.
      3 Months Subscription Plan – USD 94 (MYR 390) per month with a minimum subscription of 3 months.
      6 Months Subscription Plan – USD 85 (MYR 350) per month with a minimum subscription of 6 months.
    2. Any promotions that are offered with the fees imposed, shall only apply to the months in which you have initially subscribed within the promotional period. A subscription renewal will not include the aforementioned promotions.
    3. When a student decides to initiate a subscription with Kodomo Japanese Station program; once the initial payment has been completed, a confirmation invoice will be issued. Your subscription plan will be charged according to the pre-agreed terms as of the confirmation invoice. 
      3.1  Should the student(s) choose to withdraw from the program before the expiration of the subscription, the payment charges will still be deducted until the end of the bounded subscription period. There will be no refunds if the student would like to remove themselves (or withdraw) from the program at any point of time after the initial confirmation invoice has been issued.
    4. The subscription monthly charges will be charged based on the next class available after the date as stated in the confirmation invoice.
      4.1 
      The charges for the following month will take place the day before, of the 2nd month, and will remain up till the end of the subscription period. For example, if the first class that the student joins is on the 2nd of January, the next payment will be due on the 1st of February.
    5. If the student(s) choose to continue subscribing after the bounded period based on the chosen plan, they are allowed to select between any of the subscription plans offered.
    6. If the student(s) choose to not continue subscribing after the bounded period based on the chosen plan, they will be removed from the designated WhatsApp group, and are welcome to re-subscribe any time in the near future (which will bring them back to the initial payment route).

Misbehaviour or Misconduct of Classes

    1. Please note that Nippon Hippo reserves the right to reject and/or expel any of the students who join our program(s) at our discretion with no prior notice.
    2. In the case where we notice that action(s) of either the student, parent(s) and/or guardians; either individually or collectively, with or without the cooperation or collaboration with external parties has affected the class quality negatively, Nippon Hippo reserves the right to expel student(s) involved without warning or notices.
      2.1  Should there be an attempt to break any laws of the company’s, teachers’, or participants’ country, the persons involved will be expelled from the program from the point of enforcement of law by the authorities, and will be prevented from attending or participating in any classes in the future.
      2.2  Student(s) are also aware that once they are expelled from the program, Nippon Hippo will no longer be responsible or liable for any of the upcoming actions or plans the student may have, including the costs that will come with it.
    3. You agree to indemnify Nippon Hippo against any claims, losses, demands, costs and other expenses which the company may incur as a result of any damage to property, person or accommodation, being refused travel, or diversion of your flight as a result of the behavior of you or your party.
    4. Nippon Hippo reserves the right to accept or reject any person as a student; to expel any student from the program (or classes); to make changes in the format of classes whenever Nippon Hippo deems it necessary for the suitability or convenience of the students.

Attendance & Missed Class

    1. Students are expected to attend all scheduled classes.
    2. If a student is unable to attend a class due to personal reasons, there will not be any replacement class offered.
    3. Students may request a recording of a missed class, but this is not a guaranteed service and is subject to availability.

Request for Playback Video/ Video Recording

    1. If a student is absent to any of the classes, the student (or the parent/ guardian/ care-taker) is allowed to request for the playback video/ video recording of the class, which will only be sent to the student if a request is sent to the administrative team.
